
Project Support Specialist

This role is focused on delivering exceptional customer support while collaborating with the Service Manager to guide the Service Technician Team in understanding their daily schedules, performance goals and expectations.
Key Responsibilities:- Maintain a high level of professionalism with clients and staff.
- Provide top-notch customer service by establishing a positive rapport with the client.
- Respond promptly to all service calls.
- Collaborate as a team member to mitigate problems and issues.
- Convert information into required electronic format.
- Prepare, back-up, compile, update, and sort document data files into a prescribed computer database.
- Comply with data integrity and security protocols.
- Assist Service Manager in resolving emergencies in a timely manner.
- Oversee scheduling of service team and provide recommendations to Service Manager for department needs.
- Deliver weekly progress updates to the Service Manager and client point of contact.
- Obtain quotes from qualified subcontractors when necessary.
- Participate in project kick-off meetings that include key participants from sales, engineering, fabrication, installation, and programming departments when needed.
- Attend regular internal virtual CoitCom meetings.
- Verify completed work for accuracy.
- Pursue opportunities to improve department efficiency, reduce costs, and enhance product quality through customer feedback.
- Track and provide accurate project status / milestones to Service Manager and or client point of contact.
- Participate as needed in prescribed training curriculum.
- Conduct or schedule product / system trainings for CoitCom Service Team members.
- Responsible for self-directed development and participate as needed in prescribed training curriculum.
- May include after hours and on-call duties with guaranteed response times.
- Additional duties as assigned by management.
- Superior written and verbal communication skills.
- Must be responsible, self-motivated, self-starter, personable and well-organized.
- Understand AV system functionality and installation processes and techniques.
- Ability to read and comprehend project technical and construction documents.
- Proficient with Microsoft Office (Word, Excel, Outlook), Keynote, and Adobe Acrobat.
- Self-starter capable of working independently and meeting deadlines.
- Exceptional customer service skills to deal with both internal and external customers.
- Ability to manage multiple tasks simultaneously.
- Strong interpersonal skills: ability to work with diverse groups.
- Ability to demonstrate planning, organizing, and implementing skills which allow the successful completion of a project by a specific due date.
- Must be able to effectively handle stressful situations.
- Must be able to read and effectively interpret general business documentation.
