We are seeking an organized and detail-oriented professional to join our team as a Project Support Specialist.

Job Summary

This role plays a key part in ensuring smooth end-to-end order fulfillment by processing orders, coordinating with vendors, and maintaining clear communication with internal teams and clients.

The ideal candidate thrives in fast-paced environments, has excellent project management and organizational skills, and can effectively meet deadlines while managing multiple tasks.

Key Responsibilities:
  • Process, track, and bill customer orders accurately and efficiently.
  • Assist in preparing product specifications, pricing research, and vendor discussions.
  • Submit and manage new customer and vendor forms for approval.
  • Support client proposal development as needed.
  • Verify manufacturer orders, ensuring accuracy in details and specifications.
  • Utilize NetSuite or similar ERP software to manage order processing and documentation.
  • Work with Project Spec and Cap Worksheets to create and review product specifications.
  • Follow up on order status, delivery schedules, and issue resolution to ensure smooth operations.
  • Maintain the order tracking system and provide regular reports.
  • Coordinate deliveries and installations with warehouses and client representatives.
  • Track warehouse receiving of products and ensure proper documentation.
  • Ensure client satisfaction by assisting with final approvals and addressing concerns.
  • Process invoices and maintain well-organized project files.
  • Participate in team meetings and company initiatives.
Qualifications:
  • Excellent English communication skills – both verbal and written.
  • Strong interpersonal skills – ability to interact effectively with clients and internal teams.
  • Highly organized with strong project management skills – able to manage multiple tasks efficiently.
  • Tech-oriented and comfortable with technology – must quickly adapt to various software tools.
  • Experience with NetSuite or similar ERP software required.
  • Basic understanding of Project Spec and familiarity with Cap Worksheets or similar tools.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to meet deadlines and work efficiently under pressure.
  • Prior experience in customer service, order processing, or a similar role is preferred.
