Job Title: Real Estate Support Specialist
This role is designed to provide administrative support for a team of real estate professionals. The ideal candidate will have experience working in an office environment and be proficient in various software applications.
- Administrative Tasks:
- Assist with onboarding new agents, including setting up their profiles and maintaining checklists for new hires.
- Provide day-to-day concierge services to agents, responding promptly to requests and ensuring smooth workflow management.
- Coordinate the installation and removal of real estate signs, scheduling appointments as needed.
- Marketing and Design:
- Develop and update marketing materials using Canva, including flyers, social media posts, and welcome packets.
- Update agent profiles, headshots, and bios on websites, ensuring consistency across all platforms.
- Assist with digital and social media campaigns, coordinating monthly marketing pieces and supporting agents with custom listing/buyer template updates.
- Real Estate Operations:
- Access MLS systems to retrieve property data and photos, utilizing this information to inform business decisions.
- Conduct research for the commercial team, compiling data from various sources and providing actionable insights.
- Monitor listings and leads on a set schedule, forwarding relevant information to appropriate contacts.
- Maintain organizational checklists, ensuring seamless transitions between tasks and projects.
- General Administrative Support:
- Assist with scheduling, task tracking, and workflow management, ensuring efficient use of time and resources.
- Communicate proactively with leadership, confirming details and seeking clarification when necessary.
- Support email communication, lead assignment, and follow-up as directed.
Requirements:
- Previous experience as an administrative assistant in a real estate office or brokerage.
- Familiarity with real estate technology platforms and MLS access.
- Strong skills in graphic design and digital marketing, with proficiency in Canva and other relevant software.
- Highly organized, detail-oriented, and reliable, with excellent written and verbal communication skills.
- Tech-savvy, comfortable using CRM, digital marketing tools, and AI-assisted platforms.
- Ability to work independently while maintaining open communication with leadership.
