Administrative Coordinator Opportunity

We are seeking an organized and detail-oriented individual to manage day-to-day administrative tasks for our construction operations. The ideal candidate will have experience with project management software; however, candidates with strong skills in general construction industry software will also be considered.

This role involves answering phones, entering work orders, processing invoices, researching permits and licenses, and providing overall office support.

  • Answer incoming phone calls, take accurate messages, and provide customer support
  • Enter work orders, project details, and job updates into project management software
  • Prepare and process invoices, and assist with accounts payable and receivable entries
  • Maintain accurate financial and project records in accounting software
  • Research permit and license requirements for jobs in various municipalities
  • Coordinate with project managers, estimators, and field crews to ensure timely information flow
  • Maintain organized digital and physical filing systems for contracts, invoices, and project documents
  • Assist with scheduling, correspondence, and other general administrative duties

Required Skills:

  • Prior experience in an administrative or coordinating role within construction preferred
  • Experience with project management software strongly preferred; familiarity with other construction industry software accepted
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong communication skills and professional phone etiquette
  • High attention to detail and accuracy in data entry and recordkeeping
