Strategic Operations Coordinator

The remote Executive Assistant plays a vital role in supporting client relationships, operational efficiency, and strategic execution by assisting with back-office operations. This includes addressing inquiries and ensuring a smooth, positive client experience from initial engagement to ongoing support.
This individual will be responsible for managing and updating CRM systems and other databases for accurate donation records, contact information, and community data. They will also update websites with event details, registration links, calendars, and graphics using drag-and-drop interfaces.
In addition, the Executive Assistant will assist with drafting and distributing weekly community emails or announcements to promote classes, events, or initiatives. They will proactively coordinate publishing timelines, set reminders, and work with internal teams to ensure materials and client requests are delivered on time.
Required Skills and Qualifications- A minimum of one year of experience as an Executive Assistant, Virtual Assistant, or similar role is required.
- Exceptional attention to detail, strong communication, proactive collaboration, and the ability to operate both independently and as a team player while upholding company standards are essential.
- A positive attitude, honesty, and personable approach to foster trust and bring an uplifting presence to their work are highly valued.
- Salesforce experience, especially with Salesforce NPSP, is a plus.
- Basic spreadsheet/Excel formulas and navigation (VLOOKUP, XLOOKUP, Pivot Tables) are beneficial.
- Website management skills (e.g., SquareSpace, Ecwid, Wix) are desirable.
- Excellent English communication skills are necessary.
- The ability to complete projects in a timely manner and adapt to changing circumstances is crucial.
