About the Role:
We are seeking an Executive Operations Specialist to support a senior-level executive in managing multiple businesses, personal commitments, and creative ventures. This role requires someone who can deliver strategic support, ensure seamless execution, and provide valuable insights to drive decision-making.

Key Responsibilities:
  • Oversight of planning and reporting processes for the executive's life and businesses.
  • Preparation and delivery of weekly reports on upcoming meetings, priorities, tasks, and follow-ups.
  • Analysing trends, identifying areas for improvement, and providing recommendations for process enhancements.
  • Managing email communications, handling follow-ups, and prioritizing tasks for the executive.
  • Maintaining a calendar system to protect time for deep work, family, and meeting preparation.
  • Tracking deadlines and ensuring timely delivery through proactive reminders and follow-ups.
  • Supporting people follow-ups to prevent lost opportunities or missed tasks.
  • Drafting professional communications with growing independence.
  • Engaging confidently with senior executives, partners, and stakeholders.
  • Leveraging AI tools to streamline workflows, generate content, and enhance productivity.
  • Introducing AI-driven solutions to increase efficiency and reduce work hours.
  • Assisting with podcast production, scheduling, guest prep, and post-production coordination.
  • Supporting media, content, and thought leadership initiatives.
  • Researching, planning, and coordinating travel, events, and family commitments.
  • Maintaining organized file systems in OneNote and OneDrive.

Requirements:
  • At least 5+ years of experience in executive operations, Senior Executive Assistant (EA), project coordination, or operations roles supporting C-level executives.
  • Strong organisational and follow-through skills, with attention to detail.
  • Exceptional written and verbal communication skills.
  • Proactive, detail-oriented personality with a strong sense of accountability.
  • Ability to manage multiple priorities across business and personal domains.
  • High intelligence, curiosity, and ability to learn quickly.
  • Proficiency in Microsoft Suite and AI tools.
  • Independent, remote-ready work style with discipline and ownership.
