Job Description

The Client Compliance Coordinator role is a critical position that ensures seamless integration of clients into our systems while maintaining full compliance with tax, bookkeeping, and licensing requirements.

Key responsibilities include managing the client onboarding process, collecting and documenting all necessary information. This involves building and maintaining automations within our system to streamline workflows, adding new clients, assigning bookkeepers and tax preparers, and monitoring task completion.

Additionally, the Client Compliance Coordinator will ensure all deadlines are met, track compliance tasks efficiently, train staff on system features, updates, and best practices, prepare and file POAs (Power of Attorney), notify payroll and bookkeeping teams of new clients and updates, collaborate with CPAs to determine QuickBooks setup, and communicate with relevant departments.

The Client Compliance Coordinator must also conduct monthly check-in calls with clients to provide updates and maintain strong relationships, coordinate between clients, bookkeepers, and tax preparers (gather documents, clarify questions), request and track state license renewals in coordination with the Administrative/Workflow Manager, and monitor state deadlines, bookkeeping, tax returns, license renewals, and LLC renewals to ensure client compliance.
