The AP Specialist position entails a range of critical responsibilities.
Key Accountabilities:- Process vendor invoices and expenses daily, ensuring timely payment and accurate reconciliation.
- Verify purchase orders, statements, and invoices to confirm amounts owed, promoting financial transparency.
- Obtain internal approval for vendor invoices, adhering to established protocols.
- Respond to vendor inquiries, resolve discrepancies in billings and payments, and maintain positive relationships.
- Record company credit card expenditures, employee expenses, and complete reconciliations, guaranteeing accuracy and compliance.
- Assist with tax filings and mailings, ensuring adherence to regulatory requirements.
- Communicate with vendors to manage accounts, both internal and external, fostering effective partnerships.
- Collaborate in processing ACHs and checks, streamlining financial operations.
- Exhibit reliability, organization, task orientation, and ability to navigate challenging vendor or customer interactions.
- Maintain accurate financial records, adhering to accepted policies and procedures, including document storage for reports and working papers.
- Support the reconciliation of multiple bank accounts in different currencies for all corporate accounts as needed, ensuring currency exchange rates are accurately applied.
- Participate in the monthly close process, reviewing and preparing account reconciliations to ensure they accurately reflect the account's balance in a timely manner.
- Assist in preparing and coordinating intercompany transactions, maintaining the integrity of accounting and reporting software pertaining to all entities.
- Develop, maintain, and/or review reports to support analysis of income statement and balance sheet accounts upon request, identifying inconsistencies and errors for correction.
- Perform other assigned tasks and duties necessary to support the Finance Department.
- Attention to detail and numerical acuity
- Knowledge of accounting practices, procedures, and generally accepted accounting principles
- Verbal and written communication skills, enabling collaboration within a team environment
- Courage to report issues and offer analysis of the issues and possible solutions
- Ability to suggest improvements to efficiency and effectiveness
- Proficiency in using computer hardware and software
- Bachelor's degree in Accounting or equivalent experience
- 1-3 years of experience in an Accounting environment
