Business Operations Coordinator

This is a highly sought-after role for an Executive Assistant with Marketing Experience to support the growth and success of a small to medium-sized business.
As an integral part of our team, you will be responsible for managing the CEO's inbox and task list, ensuring timely follow-ups and clear priorities. You will also schedule meetings, coordinate calls, and assist with business communication. In addition, you will shift invoicing to QuickBooks and handle sending, tracking, and collecting payments.
You will be required to prepare and maintain essential client documents like W9s and COIs, and help create and document standard operating procedures for smoother operations. Your proactive approach will ensure that you assist in setting up tools and systems to improve workflow efficiency, and support bid tracking and internal organization for future growth opportunities.
Requirements- 5+ years experience in an operational and executive assistant role.
- Highly detail-oriented and thrives on clarity, structure, and follow-through.
- Proactive and takes initiative—anticipates needs before being asked.
- Tech-savvy with tools like QuickBooks, Google Workspace, Slack, and Zoom.
- Communicates clearly and professionally, both in writing and over the phone.
- Able to manage shifting priorities and work independently with minimal supervision.
- Brings experience supporting small U.S.-based businesses, ideally in construction or trades.
- $1000 - $1500/mo. depending on experience
- $500 bonus at 90 days and $1,800 available in annual performance bonuses
- 13th month pay
