Executive Support Specialist

Job Description

The Executive Support Specialist will work closely with our leadership team to provide administrative support and help manage day-to-day operations. This role is ideal for someone who enjoys working in a fast-paced environment, has excellent organizational skills, and can adapt quickly to new situations.

The successful candidate will have experience in an administrative or executive assistant role and be proficient in using various software applications such as Google Workspace, Asana, and HubSpot. They will also have strong written and verbal communication skills and be able to work independently with minimal supervision.

As the Executive Support Specialist, you will be responsible for preparing client proposals and engagements, managing calendars, scheduling meetings, prioritizing tasks, and ensuring time is effectively allocated. You will also assist with travel arrangements, including flights, accommodation, and itineraries.

You will be required to conduct online research and data collection for client projects, set up and manage client projects in Asana, tracking tasks and deadlines, and generate client progress reports and draft invoices.

In addition, you will assist with marketing automation tools and outbound email/message campaigns, maintain and organize company files and documentation within Google Workspace, and implement new marketing tech tools to improve efficiency and workflow.

We are looking for someone who is highly organized, proactive, and able to work well remotely. The ideal candidate will be self-motivated, have a positive attitude, and be able to prioritize tasks effectively.

Required Skills & Qualifications
  • Minimum 4+ years experience in an administrative, executive assistant, or similar role
  • Project management experience: Asana experience preferred
  • CRM experience (Hubspot preferred) for managing contacts and outbound messaging
  • Google Workspace (Docs, Sheets, Slides, Gmail, Drive) competence
  • Canva skills for content creation and light design work
  • Marketing tech tools knowledge (email automation, CRM integrations, LinkedIn outreach)
  • Strong written and verbal communication skills in English
  • Ability to work independently, manage remote tasks, and take ownership of responsibilities
  • Strong attention to detail, organization, and project management skills (Asana preferred)
