
Administrative Bookkeeping Specialist

This position involves managing day-to-day bookkeeping in a remote setting, ensuring accurate financial records and reports.
Responsibilities:- Reconcile accounts, process invoices, manage expenses, and handle general ledger entries.
- Capture, code, and file supplier receipts and invoices using Dext; ensure digital documents are organized and audit-ready.
- Process and track accounts payable and receivable; prepare supplier payments and chase incoming payments as needed.
- Support accurate job costing: allocate materials, labour, and overhead to relevant projects.
- Reconcile bank and credit card statements regularly.
- Prepare monthly management reports: P&L, cash-flow statements, project cost summaries.
- Liaise with external accountants for GST and tax matters.
- Proven experience (2+ years) in bookkeeping using Xero.
- Proficiency with Dext (or similar receipt-capturing tools).
- Strong understanding of bookkeeping workflows: invoicing, reconciliation, tracking expenses, and job costing.
- Exceptional organisational skills and attention to detail in both financial and admin tasks.
- Comfortable working in a small, collaborative team where adaptability is key.
