
Senior Proposal Development Specialist

- We are seeking an experienced professional to assist in writing and managing proposals for our marketing team.
This role works closely with business operations and support staff to bring leadership, compliance, skilled writing, and creativity to must-win pursuits. The position includes leading large proposals and presentations and supporting from pre-RFP positioning through to the interview stage as required.
Key Responsibilities:The ideal candidate will possess strong skills in proposal development, management, and coordination. They will be responsible for:
- Assisting with large proposals and leading small to medium proposals (cross-regions or business lines); providing support from capture through to interview stage as required.
- Coordinating content and information for qualifications and proposals, including schedule, templates, compliance, content plan, and production.
- Providing conceptual leadership for document design; may serve as lead writer/editor for resumes and past performance sections for proposals.
- Facilitating color reviews (Pink and Red team) and applying lessons learned to enhance proposals.
- Managing implementation of proposal and presentation revisions based on direction from review teams.
- Participating in go/no-go and greenlight analyses in compliance with delegation of authority guidelines, capture planning, and positioning activities related to proposal preparation.
- Completing internal debriefs for proposals led and reviewing client feedback to demonstrate continuous improvement.
- Maintaining a solid working knowledge of company quality procedures and approval processes (legal, contracts, DOA, signatory).
- Liasing with relevant business line teams, operations, technical, and business development professionals to support or develop marketing information (e.g., case studies, project sheets, capabilities summaries).
- Providing guidance to entry-level proposal team members.
- Performing self-checks of work prior to submission for review/approval.
To be considered for this role, candidates should have:
- A BA/BS in Journalism, English, Communications, Marketing, or a related field with at least 3-4 years of managing design proposals, particularly winning work for facility design-bid-build and design-build pursuits, or an equivalent combination of experience and education.
Candidates with the following qualifications are highly desirable:
- Working knowledge of the A/E industry; knowledge of marketing practices, work processes, and tools.
- Strong skills in Microsoft Word, Excel, PowerPoint, and desktop publishing software (Adobe Creative Suite), graphics programs (InDesign, Illustrator, Acrobat, Photoshop).
- Familiarity with collaborative tools (e.g., Microsoft Teams, SharePoint); CRM knowledge (Salesforce a plus).
- Ability to manage multiple projects and details concurrently, follow up, and bring tasks to full completion.
- Ability to produce accurate, compliant, and compelling work independently and with others; strong organizational and administrative skills; ability to meet tight deadlines.
- Experience demonstrating leadership qualities.
