Financial Operations Job Description

This role involves overseeing the full spectrum of financial operations, including account reconciliation, payment monitoring, contract administration, and payroll management.

Maintain accurate financial data integrity, compliance, and inter-company balancing; ensure timely and efficient execution of tasks across various platforms.

Key Responsibilities:
  • Perform daily, weekly, and monthly reconciliations to align business accounts with Xero, payment platforms, and records.
  • Manage inter-company transactions and reconciliations to balance books across entities.
  • Support end-of-month and end-of-year reporting with reconciled data, schedules, and supporting documentation.
Account Reconciliation & Reporting

The ideal candidate will have experience in managing large datasets, identifying discrepancies, and implementing process improvements to enhance efficiency and accuracy.

  • Approve and process customer and operational invoices in Xero, ensuring accuracy and timeliness.
  • Manage supplier payments, expense reimbursements, and payment scheduling aligned with cash flow priorities.
  • Maintain and update the chart of accounts as needed for reporting requirements.
Invoice & Payment Processing

  • Create and edit customer payment schedules based on variations, cancellations, upgrades, or early payouts.
  • Assess applications for B2B contracts, verifying financial viability and compliance with business criteria.
  • Register and discharge PPSR as required and document all contract-linked transactions.
Loan & Contract Administration

The successful candidate will possess excellent communication skills, attention to detail, and the ability to work effectively in a remote setting.

  • Monitor overdue accounts and support collections activities with operations and management teams.
  • Process dishonour fees, administrative charges, and other account adjustments as needed.
  • Maintain accurate financial and contact data for customers in Xero and integrated systems.
Collections & Customer Finance Support

A strong understanding of financial software and systems, including Xero and external payment platforms, is essential for this role.

  • Maintain and enhance the integration between Xero and external payment platforms to ensure accuracy and efficiency.
  • Identify opportunities for automation, reporting improvements, and process optimization.
  • Liaise with external accountants for audits, compliance checks, and ad hoc requests.
