Job Title: Administrative Coordinator / Operations Specialist

We are seeking a highly organized and detail-oriented professional to manage administrative tasks and oversee operational activities.

Key Responsibilities:
  • Task Management & Documentation:
    • Coordinate work orders, change orders, submittals, RFIs, and RFPs
  • Communication & Liaison:
    • Interact with clients, vendors, and contractors via email, phone, and messaging platforms
  • Project & Office Administration:
    • Assist with bids/proposals, track equipment rentals, material purchases, and change orders
    • Maintain communication with on-site project managers
  • Regulatory Compliance & Safety:
    • Support site-specific safety plans and ensure proper management of regulatory paperwork
  • Marketing & Brand Awareness:
    • Help manage online presence, customer engagement, and brand awareness
  • HVAC Plans & Vendor Pricing:
    • Review HVAC plans and specifications, gather necessary information for vendor pricing and estimates
    • Track all vendor estimates and submittals using project management tools
  • PlanSwift & Estimating Support:
    • Utilize PlanSwift to review takeoffs, measure materials, and assist in preparing estimates

Requirements:

  • Proven experience in administration, operations, or a related field
  • Familiarity with project management tools and effective communication with vendors
  • Strong organizational and time management skills, with the ability to handle multiple priorities in a fast-paced environment
  • Excellent verbal and written communication skills
  • Proactive, adaptable, and able to anticipate company needs
  • Proficiency in various software applications, including email, spreadsheets, word processing, and project management tools
