Our team requires a dedicated Legal Support Specialist to provide administrative and operational support to our legal department. This role entails handling various tasks, including managing internal records, scheduling, and client conflict resolution.
Key Responsibilities- Perform operations support tasks:
- Provide comprehensive support to the legal team by assisting with administrative duties, coordinating tasks, and ensuring smooth day-to-day operations.
- Assist in implementing and improving operational processes and workflows.
- Conduct internal records review:
- Review internal records to ensure accuracy, completeness, and compliance with relevant policies and laws.
- Organize and maintain documentation for easy access and retrieval.
- Coordinate training sessions:
- Schedule training sessions for staff members.
- Ensure that training programs are well-organized, communicated effectively, and all necessary resources and materials are prepared.
- Manage fortnightly schedules and reports:
- Prepare fortnightly schedules and reports, including tracking progress on key initiatives and summarizing operational activities.
- Provide insights and updates to support decision-making and operational planning.
- Track client conflict resolution efforts:
- Track and manage client conflict resolution efforts, including recording issues, monitoring resolution progress, and ensuring conflicts are resolved in a timely and effective manner.
- Maintain records of client interactions and outcomes.
- Associate's degree in Business Administration, Legal Studies, or a related field is preferred but not required.
- Minimum of 2 years of experience in a legal or administrative support role.
- Experience in operations support, record management, or client service is beneficial.
- Relevant certifications in administrative support or legal assistance are a plus.
- Proficiency in office software (e.g., MS Office, Google Workspace).
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Detail-oriented with strong problem-solving abilities.
