Scheduler Role

We are seeking a highly organized and reliable individual to play a vital role in coordinating appointments, managing calendars, and ensuring smooth scheduling operations across multiple teams and stakeholders.

Key Responsibilities:
  • Coordinate and maintain calendars for multiple team members or departments, ensuring seamless communication and collaboration.
  • Schedule client meetings, internal check-ins, consultations, and follow-ups with professionalism and accuracy.
  • Confirm, reschedule, or cancel appointments as needed, demonstrating adaptability and strong organizational skills.
  • Manage scheduling software and ensure calendar updates are prompt and error-free, providing excellent support to team members.
  • Collaborate with operations, HR, and leadership teams to accommodate dynamic priorities, fostering effective teamwork and communication.
  • Communicate with clients and internal staff via phone, email, and instant messaging platforms, maintaining a professional and courteous demeanor at all times.
  • Anticipate scheduling conflicts and offer practical solutions in real time, ensuring the smooth operation of daily activities.
  • Ensure appointment reminders and confirmations are sent out in a timely manner, exceeding expectations and delivering exceptional service.
Qualifications:
  • Proven experience in administrative, operations, or scheduling roles supporting U.S.-based teams, with a focus on delivering high-quality results and services.
  • Excellent English communication skills—both verbal and written, with the ability to articulate complex ideas in a clear and concise manner.
  • Strong organizational skills with an ability to manage multiple calendars and priorities, ensuring efficient workflow and maximum productivity.
  • High level of attention to detail and ability to work independently, making sound judgments and taking initiative when necessary.
  • Proficiency in scheduling and communication tools (e.g., Google Calendar, Microsoft Outlook, Zoom, Slack, Calendly), with the ability to quickly learn new systems and workflows.
  • Time zone flexibility and ability to work in U.S. business hours, with a commitment to delivering outstanding service and support.
  • Professionalism, discretion, and a client-focused mindset, with a passion for delivering exceptional customer experiences.
  • Experience in healthcare, law, or service-based industries, with a deep understanding of the industry and its unique challenges and opportunities.
  • Familiarity with CRM or EMR systems, with the ability to effectively utilize these tools to drive business results.
  • Previous remote work experience with international teams, with a proven track record of successfully navigating cultural and geographical differences.
  • Ability to adapt quickly to new systems and workflows, with a willingness to learn and grow in a rapidly evolving environment.
