Administrative Professional in Construction Operations

The role of the Executive Assistant is pivotal in supporting the senior leadership team, ensuring seamless day-to-day activities and strategic initiatives are executed efficiently.

Key Responsibilities:
  • Coordinate executive schedules, arranging meetings, appointments, and travel arrangements to optimize productivity.
  • Develop and edit correspondence, reports, and presentations tailored to construction projects, showcasing expertise in documentation management.
  • Maintain confidentiality, adhering to industry regulations and best practices.
  • Support project administration, overseeing documentation, contracts, and permits to ensure compliance.
  • Cultivate communication between executives, clients, vendors, and on-site teams to foster a collaborative environment.
  • Monitor project timelines and deliverables, providing timely updates to senior leaders as needed.
  • Conduct research on construction materials, vendors, and industry standards to stay informed.
  • Manage expense reports and assist in financial tracking for construction projects, promoting transparency.
  • Organize and maintain the executive's filing system, both electronic and physical, ensuring efficient information retrieval.
  • Perform general administrative tasks to support the senior leadership team, enhancing operational efficiency.

Requirements:

  • A minimum of 3 years of experience as an Executive Assistant to C-level executives.
  • Bachelor's degree in Business Administration or a related field is preferred.
  • No less than 3 years of experience as an executive assistant or in a similar administrative role.
  • Familiarity with the construction industry and its operations is highly desirable.
  • Exceptional organizational and time-management skills.
  • Excellent English communication skills: reading, writing, speaking.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
  • Ability to work independently and handle multiple tasks with high accuracy.
  • High attention to detail and problem-solving skills.
  • Tech-savviness with knowledge of cloud-based systems and virtual communication tools.
