Virtual Assistant Job Description

We are seeking a highly organized, detail-oriented Virtual Assistant to join our team. The ideal candidate will have experience in construction business operations and be able to implement systems, create Standard Operating Procedures (SOPs), and set up project management software.

Job Responsibilities:

  • Software Setup: Set up project and schedule templates, task checklists, roles, and workflow templates in BuilderTrend and JobTread.
  • SOP and Template Creation: Translate our frameworks into clear, client-specific SOPs using our formatting and language, and build playbooks, checklists, agenda templates, trackers, and calculators using Google Docs & Sheets.
  • Client Support Tasks: Follow up on missing items, maintain project folders and version control, and provide light technical support to clients.

Required Experience and Skills:

  • Degree and Experience: A degree in Construction, Engineering, Architecture, or other related fields, with 6+ years of experience in Construction Project Management or Construction Administrative Support.
  • Software Proficiency: Proficient in BuilderTrend and JobTread, including schedule templates, task lists, permissions, roles, workflows, etc., and Google Workspace, including Docs, Sheets, Slides for templates and trackers.
  • Documentation and Systems Thinking: Experienced in creating SOPs, playbooks, and operational templates, with strong attention to detail and ability to document step-by-step processes clearly.
  • Communication and Workflow: Professional written English, proactive with questions and progress updates, able to follow a structured format and adapt to feedback, comfortable working in a fast-moving, project-based environment, and able to handle multiple client projects and track deliverables per account.
