Homecare Scheduler Position Overview:

This role offers an opportunity to work in a fast-paced environment managing and coordinating caregiver schedules to meet the needs of clients. As a Homecare Scheduler, you will be responsible for ensuring seamless client care by efficiently assigning caregivers based on client needs, skills, and availability.

Key Responsibilities:

  • Manage client schedules, adjusting for emergencies, last-minute absences, and urgent client needs.
  • Communicate schedule changes to caregivers and clients, offering incentives for hard-to-fill shifts.
  • Act as the main contact for caregivers, handling availability, assignments, and policy updates.
  • Address client inquiries and assist with onboarding new clients into the scheduling system.
  • Maintain accurate records in scheduling software, tracking availability and backup schedules.
  • Resolve scheduling conflicts and caregiver disputes efficiently.

Bookkeeping Responsibilities:

  • Keep financial records updated in QuickBooks, auditing and reconciling reports.
  • Manage accounts payable, verify caregiver timesheets, and ensure accurate payroll processing.
  • Ensure timely invoicing and payment collection from clients.

Onboarding Process:

  1. Get onboarded to company processes, scheduling software, and caregiver-client matching protocols.
  2. Shadow senior team members to understand workflow and client expectations.
  3. Begin managing lower-risk scheduling assignments under supervision.
  4. Develop familiarity with caregiver profiles, availability, and specific client care needs.
  5. Attend daily scheduling meetings and start contributing to coverage solutions.

Required Qualifications:

  • At least 1-2 years of experience as a Homecare Scheduler or client relations in the homecare or healthcare industry.
  • Experience using scheduling software and ability to manage large numbers of clients and hours.
  • Background experience in Financial and Project Management is a plus.
  • Background experience in Bookkeeping, QuickBooks, and P&L preparation is a plus.
  • Strong time management and communication skills.

Nice-to-Have Qualifications:

  • Prior experience in homecare, healthcare, or senior care.
  • Familiarity with HIPAA compliance and caregiver credentialing.
