Proposal Coordinator Job

At our organization, we are seeking a skilled Proposal Coordinator to join our team. The ideal candidate will have experience in proposal development and be familiar with best practices for managing winning proposals.

In this role, you will support the creation and development of proposals in response to commercial and public sector RFx/tenders. Responsibilities include reviewing requests for proposals (RFxs); capturing win themes; developing the proposal plan and templates; collaborating with technology partners on content creation; and reviewing proposals for grammar, punctuation, and consistency in style and formatting.

You will use pre-existing materials as well as manage and moderate new content in Responsive. This role works with subject matter experts within our organization to ensure content is 'on brand' and the entire proposal is client-centric, responsive, and compliant with RFx requirements. You must understand client/prospect's challenges and goals (as outlined in the RFx and the seller's opportunity plan) and ensure the team addresses those items in the response.

This role involves working closely with cross-functional teams, including sales, marketing, and operations, to develop high-quality proposals that meet client needs. Key responsibilities include:
  • Managing multiple proposals simultaneously ensuring each submission is clear, accurate, and strategically positioned to win.
  • Drafting, reviewing, and editing proposal responses, executive summaries, and supporting materials ensuring content is client-focused, persuasive, and aligned with brand standards.
  • Conducting thorough reviews for accuracy, compliance, and clarity, with special attention to detail incorporating feedback from internal stakeholders, where appropriate.
  • Managing existing and moderating new content in the Responsive content library in collaboration with various SMEs and departments.
  • Managing proposal timelines, tasks, deliverables ensuring on-time delivery of all submissions while balancing concurrent deadlines.

The ideal candidate will have 4+ years of experience in proposal development, a strong background developing win strategies, proposal plans, and other key deliverables for successful proposals, certification in proposal management, or experience with proposal software for content management and workflow automation, proficiency in MS Office Suite, experience with customer relationship management tools, and experience working on remote teams.
