Job Description:Responsibilities:
  • Act as the primary point of contact for visitors, telephone calls, and emails, providing exceptional customer service and ensuring timely responses to inquiries.
  • Provide background information for appointments with official visitors and staff members, ensuring seamless communication and coordination.
  • Monitor requests for goods and services, including receipt, payment, and inventory requirements, guaranteeing efficient procurement processes.
  • Draft general or administrative correspondence on own initiative or based on instructions, finalizing reports for signature and clearance.
  • Verify outgoing correspondence for accuracy, grammar, and style, adhering to organizational standards and practices.
  • Analyze incoming correspondence and requests, researching and obtaining background information as needed, and redirecting documents appropriately.
  • Ensure technical reports and documents meet organizational standards, editing and correcting them as necessary prior to submission.
  • Utilize tracking tools to follow up on correspondence and queries, ensuring timely responses and meeting deadlines.
Experience:

A minimum of 5 years of experience in secretarial or administrative positions is required. Relevant experience in government organizations or Oracle-based ERP systems is highly desirable.
