Customer Service Representative - HVAC Specialist

We are seeking a skilled and knowledgeable Customer Service Representative to manage customer communications related to heating, ventilation, and air conditioning (HVAC) services. As an HVAC specialist, you will be responsible for handling both incoming and outgoing calls with professionalism and expertise to assist clients, offer solutions, and convert inquiries into scheduled services or sales.

Key Responsibilities:
  • Answer inbound calls from residential and commercial customers regarding HVAC services (repairs, maintenance, installations, estimates)
  • Make outbound follow-up calls to confirm appointments, provide quotes, or check on previous service calls
  • Assess customer needs and recommend appropriate HVAC solutions based on provided guidelines
  • Schedule service appointments accurately in coordination with dispatch teams
  • Provide pricing, warranty, and service information clearly and professionally
  • Maintain up-to-date customer records and call notes in the CRM system
  • Resolve customer concerns or escalate issues to the appropriate internal team
  • Meet quality assurance and service level benchmarks set by the client
Requirements:
  • At least 1 year of experience in a call center or phone-based customer service/sales role (HVAC or trades industry preferred)
  • Strong knowledge of HVAC services, terminology, and common customer concerns
  • Excellent verbal communication, active listening, and problem-solving skills
  • Experience using CRM or dispatch software is an advantage
  • Ability to multitask, stay organized, and work in a fast-paced environment
  • Comfortable working remote or in a BPO setting with flexible shifts if needed
