
Property Operations Coordinator

We are seeking a highly skilled and detail-oriented Property Management Assistant to join our team.
Key Responsibilities:- Maintain positive relationships with clients and respond promptly to their needs.
- Provide administrative support to the Property Management Team, ensuring quality service and maximizing client retention.
- Enter maintenance requests into Property Me and arrange instructions in a timely manner.
- Monitor outstanding jobs and quotes using Property Me.
- Add approved invoices to Dropbox and send accounts to rental providers as needed.
- Arrange lease renewals according to instructions from rental providers and ensure safety compliance is met.
- Follow up on reminders and tasks in Property Me software.
- Maintenance:
- Diarise maintenance requests from renters and advise landlords accordingly.
- Arrange tradesmen if approved and complete maintenance tasks.
- Check with renters or tradesmen to confirm work completion.
- Follow up on any outstanding maintenance within five days.
- Approve invoices as per property manager instructions.
- Rent Arrears Process:
- Respond to rent arrears as instructed by property managers (sms, emails from PropertyMe).
- Routine Inspections:
- Property managers will monthly advise of routine inspections to be booked for the following month and the days/times.
- Arrange inspections with renters by forwarding letters advising of day and time.
- SMS renters one day prior as a reminder.
- Add any maintenance noted to PME; follow up with owners or renters for any follow-ups needed.
- Arrange required maintenance once instructed by property managers.
- General:
- Attend property management meetings when invited.
- Follow company processes and use required checklists.
- Respond to emails in a timely manner.
- Provide backup support to other staff if required.
- Generate lease renewal letters and update Property Me.
- Coordinate new client documentation and follow up on compliance documents.
- Enter new managements into PME including property, renter, owner information, and relevant details.
- Organize re-directions of invoices for new managements such as water, council, and OC fees.
- Manage bond lodgements/claims/transfers/audits/renewals and ensure all bond numbers and receipts are filed in PME.
- Enter new creditors into PME and save relevant documents.
- Connect water for new renters.
- Provide tenancy details to Direct Connect for utility connections.
- Process and add incoming invoices to Dropbox for trust accounts.
- Direct trade invoices to property managers for approval and updating in PME.
