Key Responsibilities and Accountabilities

Administrative Assistant in Property Management plays a pivotal role in supporting the smooth operation of a growing property management company overseeing multiple cooperative and condominium buildings.

This key position involves handling routine administrative tasks, project-based work, and ensuring effective communication with residents, vendors, and internal stakeholders.

The successful candidate will work closely with the property manager to oversee various responsibilities including payment collection, fee follow-ups, inspection scheduling, and vendor coordination across multiple properties.

  • Routine administrative tasks such as making professional outbound calls to residents for payment collection and fee follow-ups.
  • Bulk email notices to residents regarding payments and updates.
  • Maintaining spreadsheets tracking payment status and collection activity across properties.
  • Scheduling inspections (e.g., boilers, elevators) with certified service companies.
  • Tracking vendor proposals and ensuring certifications are up-to-date.
  • Managing ongoing projects across multiple properties, ensuring timely completion.
  • Providing support for personal administrative tasks for the property manager as needed.
  • Generating reports on completed tasks and ongoing projects for regular check-ins.
  • Keeping detailed records of all communications and activities.
Requirements:

To excel in this Administrative Assistant role, the ideal candidate should possess exceptional organizational, communication, and time-management skills.

A strong ability to multitask, prioritize tasks, and maintain accurate records is essential.
