Key Responsibilities:
1. Administration:
Serve as the primary point of contact for tenants, facilitating communication and addressing issues and inquiries efficiently.
Oversee the leasing process, including tenant applications, lease agreements, and renewals, ensuring compliance with all legal requirements.
Maintain accurate and up-to-date property records, including tenant files, contracts, and compliance documentation.
Organize and lead regular property staff meetings to ensure clear communication across teams.
2. Financial Management:
Develop and manage annual property budgets, ensuring alignment with financial goals and performance metrics.
Monitor and report on income and expenses, aiming to enhance property profitability and mitigate costs.
Implement rent collection procedures, manage delinquent accounts, and follow up as necessary to ensure timely payments.
Prepare monthly financial statements and reports, providing analysis to stakeholders and offering strategies for financial improvement.
3. Engineering and Maintenance:
Coordinate and oversee maintenance and repair operations, ensuring timely responses to tenant requests and adherence to quality standards.
Conduct regular inspections of properties and facilities, implementing proactive maintenance plans to prevent issues.
Collaborate with maintenance staff and external contractors for building repairs, renovations, and ongoing property projects.
Stay updated on industry practices and innovations related to property engineering and maintenance operations, ensuring properties meet safety and accessibility standards.
4. Security Management:
Develop and implement security protocols to protect tenants, property assets, and overall property integrity.
Coordinate with security personnel and vendors to ensure effective security measures are in place, including surveillance systems and access control.
Conduct regular assessments of security risks and respond to any incidents or reports of criminal activity.
Provide training for staff on emergency response procedures, ensuring readiness for any potential security threats.
Qualifications:
Education:
Bachelor's degree in business administration, real estate management, engineering, or a related field preferred.
Experience:
5+ years of property management experience with a focus on administration, finance, engineering, and security.
Proficiency in property management software and basic engineering/maintenance knowledge.
Licenses/Certifications:
Real estate license preferred (state-specific).
Relevant certifications (e.g., CPM, CAM, Certified Facility Manager) are advantageous.
Skills:
Strong leadership and team management abilities with excellent interpersonal skills.
In-depth knowledge of financial management, budgeting, and reporting techniques.
Technical understanding of building systems, engineering principles, and maintenance practices.
Expertise in security management practices and emergency response protocols.
Excellent problem-solving and organizational skills, with the ability to handle multiple tasks effectively.
