Virtual Bookkeeping Assistant Role

This highly organized and detail-oriented role requires a strong background in bookkeeping and accounting.

We are seeking an experienced Virtual Bookkeeping Assistant to support financial operations and general business tasks using AI tools. The ideal candidate will manage financial records, prepare invoices, reconcile statements, and generate financial reports while handling routine administrative support.

Responsibilities:
  • Bookkeeping & Accounting:
    • Record and manage financial transactions accurately
    • Process invoices, receipts, and payments efficiently
    • Reconcile bank statements and financial records thoroughly
    • Prepare detailed financial reports and summaries
    • Assist with tax preparation and compliance as needed
    • Maintain accurate bookkeeping records in QuickBooks, Xero, or similar software
    • Handle accounts payable and receivable effectively
    • Compile financial reports and present them to the Finance Director and CEO
    • Assist with knowledge base data management
    • Compile sales tax returns and submit
    • Work with the Finance Director to complete state, local, and corporate payments
    • General VA Tasks:
      • Manage emails and correspondence professionally
      • Organize and update files, spreadsheets, and databases
      • Assist with administrative tasks like scheduling and calendar management (Google Calendar, Calendly)
      • Support project management tasks using Asana, Trello, or ClickUp
      • Follow up via email, chat, and/or phone
      • Conduct online research and data entry tasks
      • Communicate with vendors, clients, and team members as needed
    Requirements:
    • At least 1+ years of experience as a Virtual Assistant with a focus on bookkeeping/accounting
    • Minimum of 2 years of remote work experience
    • Experience using accounting software such as QuickBooks, Xero, Wave, or FreshBooks
    • Proficiency with project management tools like Asana, Trello, or ClickUp
    • Familiarity with AI tools like ChatGPT, Claude AI, Gemini, Notion AI, or Canva AI (preferred but not required)
    • Excellent English communication skills (both written and verbal)
    • Strong attention to detail and organizational skills
    • Ability to handle confidential financial information securely
    • Tech-savvy and comfortable using productivity tools such as Google Workspace, Microsoft Office, and Slack
    Nice-to-Have Skills:
    • Experience with payroll processing
    • Knowledge of tax regulations and compliance depending on the country
    • Ability to analyze financial data and suggest process improvements
