Payroll Specialist Job Description

The Payroll Specialist is responsible for overseeing the entire payroll process from start to finish.

  • Process bi-weekly payroll for multi-state employees and weekly off-cycle payrolls accurately and on time.
  • Audit timecards, rate changes, retroactive adjustments, bonuses, and final pay calculations thoroughly.
  • Ensure approvals of time and pay exceptions by managers prior to processing.
  • Verify deductions (e.g. benefits, union dues, garnishments, auto allowance, Direct Bill payments) and manage W-2s, year-end filings, and state tax withholdings setup.
  • Submit and audit files for DailyPay, Purchasing Power, and other payroll-related programs.

Additional responsibilities include:

  • Lead or contribute to payroll system configuration, upgrades, testing, and quality assurance efforts.
  • Generate and maintain payroll and labor cost reports for internal use and analysis.
  • Collaborate with HR, Finance, and external vendors to resolve payroll issues and align payroll with organizational goals effectively.

To succeed in this role, you will need a strong understanding of payroll laws, accounting principles, and tax regulations. Additionally, you must possess excellent communication and interpersonal skills, as well as a customer service mindset with a proactive and collaborative approach.
