Job Title: Executive Assistant (Excel Specialist)

As an Executive Assistant, you will play a critical role in supporting the sales operations and executive team. Your primary responsibility will be to provide administrative support to ensure seamless day-to-day activities.

Key Responsibilities:
  • Calendar Management: Manage calendars for executives, ensuring timely scheduling of meetings, appointments, and events.
  • Email Correspondence: Respond to emails on behalf of executives, maintaining confidentiality and discretion at all times.
  • Meeting Coordination: Coordinate logistics for meetings, conferences, and other events, guaranteeing smooth execution.
  • Sales Report Analysis: Analyze and prepare sales reports using Excel, providing actionable insights for informed business decisions.
  • Clients Database Maintenance: Update and maintain CRM records, ensuring accurate and up-to-date information.
  • Lead Generation: Support lead generation efforts by identifying new business opportunities and developing strategies to drive growth.
  • Pipeline Tracking: Monitor and analyze pipeline data, providing regular updates to stakeholders.
  • Travel Arrangements: Arrange travel itineraries for executives, ensuring prompt and efficient travel planning.
  • Expense Tracking: Maintain accurate expense records, guaranteeing compliance with company policies.
Qualifications:
  • Education & Experience: Bachelor's degree in Business Administration or related field, minimum 2 years of experience in sales support or administrative roles.
  • Technical Skills: Advanced proficiency in Microsoft Excel, including VLOOKUP, Pivot Tables, and conditional formatting.
  • CRM Platforms: Familiarity with CRM platforms, such as Zoho CRM, Pipedrive, or Salesforce.
  • Productivity Tools: Experience with productivity tools, like Google Workspace, Microsoft 365, ClickUp, and Zoom.
  • Soft Skills: Excellent communication, high level of discretion, strong organizational skills, problem-solving mindset, and attention to detail.
