Accounts Payable Coordinator

We are seeking a detail-oriented and proactive Accounts Payable Coordinator to join our client's finance team in a fast-paced, growing environment.

About the Role:

Main Responsibilities:

  • Setting up new suppliers on our financial systems and maintaining accurate supplier records.
  • Processing supplier invoices, ensuring accuracy and proper authorization.
  • Checking invoices against purchase orders to verify quantities, prices, and terms.
  • Inputting approved invoices into the accounts package and reservation system.
  • Managing supplier payments in a timely manner to maintain positive vendor relationships.
  • Processing proforma invoices and handling pre-payment arrangements.
  • Chasing and following up on proforma invoices to ensure timely receipt.

Additional Responsibilities:

  • Assisting with monthly reconciliation of creditors and other balance sheet accounts.
  • Supporting month-end and year-end close processes as required.
  • Providing ad hoc support to the finance team on various projects and tasks.
  • Ensuring quality control of financial transactions and resolving discrepancies promptly.

The Ideal Candidate:

  • 3+ years of experience in accounts payable or similar finance role preferred, with travel industry background being ideal but not essential.
  • Comfort working with large volumes of daily transactions in a fast-paced environment.
  • Strong Excel skills and familiarity with accounting software packages.
  • Excellent accuracy in data entry and invoice processing.
  • Strong verbal and written communication skills for supplier liaison.
  • Ability to multitask, prioritize effectively, and work to deadlines.
  • Enthusiasm for supporting others and making a positive impact.
  • Understanding of foreign currency accounting would be advantageous.
  • Collaborative approach with ability to work across international teams.
