We are currently seeking a highly skilled Purchasing Administrative Assistant to join our team.
As a Purchasing Administrative Assistant, you will play a critical role in ensuring the smooth execution of procurement processes, managing vendor relationships, and maintaining accurate documentation.
Key Responsibilities:
- Assist in gathering, organizing, and processing documentation necessary for vendor onboarding, ensuring compliance with company policies and industry regulations.
- Aid in coordinating the vendor bidding process by preparing and distributing bid documents, tracking responses, and assisting in evaluating vendor proposals to ensure alignment with project requirements.
- Assist in managing and maintaining vendor contracts, ensuring accurate contract documentation, timely renewals, amendments, and compliance with terms and conditions.
- Prepare, assemble, and track Purchase Orders (POs) to support vendor payment applications, ensuring all documentation is accurate and aligns with contract terms and project budgets.
- Monitor and track lien waivers for all vendors, ensuring timely submission and follow-up to prevent any legal or financial issues related to construction projects.
- Track and monitor the expiration dates of vendor insurance certificates and follow up as needed to ensure continuous coverage and compliance with company insurance requirements.
Requirements:
- Understanding of residential or commercial construction processes, including familiarity with common construction terminology, project workflows, and safety regulations.
- Exceptional organizational abilities with a keen attention to detail, able to manage multiple tasks efficiently, and prioritize assignments to meet deadlines.
- Demonstrated ability to follow through on tasks, ensuring that all assignments are completed accurately and on time.
- Excellent interpersonal skills with the ability to interact professionally with vendors, project teams, and management, ensuring effective communication and resolution of issues.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a focus on document creation, spreadsheet analysis, and communication tasks.
- Familiarity with Asana to track project tasks, collaborate with team members, and ensure deadlines are met in a fast-paced environment.
- Familiarity with Buildertrend or similar construction management software to track project progress, document management, and vendor communication.
