Program Operations Manager


Description:
  • We are seeking a detail-oriented and organized Program Operations Manager to support the execution of brand sampling and operational programs.
  • The successful candidate will be responsible for developing campaign timelines, managing deadlines, and ensuring CRM system utilization.
  • This role requires strong project management skills, experience with HubSpot CRM or similar tools, and proficiency in Excel.
  • The ideal candidate will have excellent communication, negotiation, and interpersonal skills, as well as solid critical thinking and problem-solving abilities.
  • The selected individual will work remotely and have access to free learning and development programs.

Key Responsibilities:
  • Campaign kickoff meetings participation
  • Campaign timelines development and deadline management
  • CRM system maximization and utilization
  • Purchasing data provision for Connect Builder
  • Recruitment progress tracking against goals
  • Creative deliverable process management
  • Sample shipment and delivery management
  • Inventory reports maintenance and discrepancies resolution
  • Packing instructions development and shipment compliance
  • Proactive project status communication with internal team and external partners
  • Feedback surveys implementation in survey platform
  • Status updates on program metrics, photos, and consumer insights
  • Campaign recap decks compilation and digital recap development
  • Incentive distribution management to venues and consumers
  • Client meetings contribution and status updates

Requirements:
  • 3–5+ years of experience in project or program management
  • Proficient in project management tools (e.g., Basecamp)
  • Experience with HubSpot CRM or similar tools
  • Confident with Excel (comfortable with formulas and structured worksheets)
  • Strong organizational skills with attention to detail and ability to manage complex timelines
  • Effective communication, negotiation, and interpersonal skills
  • Excellent communication and follow-up skills
  • Solid critical thinking and problem-solving abilities—can proactively anticipate issues and solve them independently
  • Comfortable managing multiple stakeholders and shifting priorities in a fast-paced environment
