Job Description

This role is designed to provide exceptional administrative support to U.S.-based real estate teams, allowing you to work from home with stability and flexibility. Your primary responsibility will be to manage administrative tasks and client support for real estate transactions, working closely with the Transaction Coordinator to ensure smooth communication and workflow.

You will oversee and maintain accurate records of client interactions and transaction information, ensuring ongoing client engagement through consistent and organized communications. Additionally, you will be responsible for updating information for both prospects and existing clients, tracking and updating client birthdays and house anniversaries, and segmenting client data to send targeted email marketing to the appropriate audience.

Key Responsibilities:
  • Manage emails, calendars, and CRM systems to provide comprehensive administrative support.
  • Assist in document preparation and organization related to real estate transactions.
  • Collaborate with the Transaction Coordinator, run reports (e.g., CMAs), and handle transaction-related duties as needed.
  • Stay in touch with clients and follow up after sales via email to maintain high service standards.
  • Ensure ongoing client engagement through consistent and organized communications.
  • Maintain accurate records of client interactions and transaction information.
  • Oversee and maintain client data in the CRM, ensuring it is accurate and up to date.
  • Regularly update information for both prospects and existing clients.
  • Track and update client birthdays and house anniversaries.
  • Segment client data to send targeted email marketing to the appropriate audience.
Requirements:
  • Experience in real estate support or a fast-paced admin role.
  • Detail-oriented and organized, with the ability to bring structure to complex processes.
  • Confident using CRMs, spreadsheets, and cloud-based tools.
  • Clear and professional communication skills, both written and verbal.
  • Technically savvy, organized, and great at juggling multiple tasks.
  • Self-managed and thrives in a remote work environment.
  • Flexible, solutions-focused, and always ready to jump in where needed.
  • Social media management experience is a plus.
