Virtual Legal Assistant

Description:

We are seeking a highly skilled Virtual Legal Assistant with paralegal or law firm experience to provide exceptional support to our legal team.

Key Responsibilities:
  • Document Management: Store, organize, and maintain legal files, contracts, and case-related documents in a secure and efficient manner.
  • Draft and format legal documents such as NDAs, client agreements, demand letters, and legal memos (under supervision) using relevant software tools.
  • Assist in preparing discovery documents and manage case deadlines to ensure timely completion.
Administrative Support:
  • Conduct thorough legal research and summarize findings from public sources, case law, and government websites to support legal decision-making.
  • Track court dates, hearings, client appointments, and update calendars to prevent scheduling conflicts.
  • Prepare lead lists, transcribe meeting notes or depositions, and summarize research data to facilitate informed decision-making.
Client Coordination:
  • Coordinate meetings between attorneys and clients, manage calendars, and prevent scheduling conflicts to ensure seamless communication.
  • Respond to client inquiries professionally, make follow-up calls, and schedule appointments to build strong client relationships.
Billing & Invoicing:
  • Create and send client invoices, track payments, and log billable hours to maintain accurate financial records.
  • Maintain accurate records of expenses and case-related costs to inform budgeting decisions.
CRM & Case Management:
  • Input and update client and case information into CRMs or case management systems to ensure up-to-date records.
  • Organize case notes, track communication logs, and assist in internal project monitoring to optimize workflow.
Email & Communication Support:
  • Manage inboxes, draft responses, follow up on client communication, and flag urgent emails to ensure prompt attention.
  • Coordinate internal and external communications on behalf of the legal team to maintain effective collaboration.
Travel & General Admin Support:
  • Book travel accommodations for legal professionals when needed to ensure smooth logistics.
  • Assist with document preparation for client meetings, hearings, and conferences to ensure all necessary materials are available.
  • Perform ad hoc administrative tasks as assigned to support the team's operational needs.

The ideal candidate will have at least 6 months to 1 year of experience as a Virtual Assistant and be familiar with basic legal terms, document formatting, and legal research tools. They should also possess excellent phone, email, and instant messaging communication skills, solid organizational and time management skills, and be able to work on a graveyard shift.
