Job Opportunity: Scheduler

This is a 100% remote role that requires the ability to start work at an early hour. The applicant must be well-organized and able to manage multiple projects simultaneously.

We are seeking a skilled Scheduler to join our team. As a Scheduler, you will be responsible for managing the pipeline of inspection projects and scheduling across multiple inspection sites for various industries.

This role coordinates and optimizes project timelines to ensure timely execution and efficiency in operations, and maintains the data integrity of scheduling systems. The successful candidate will be comfortable working independently, handling complex scheduling challenges, using data-driven decision-making to optimize processes, and working collaboratively with cross-functional teams.

  • Schedule Management: Manage the project pipeline for site inspections, ensuring timelines and resource allocations align with project requirements and client expectations.
  • Produce summaries of sites, assignments and deadlines.
  • Assist with maintaining upcoming scan list.
  • Compile missing data requirements for upcoming scans, working with ambiguous information.
  • Maintain time estimates and other relevant information for upcoming tasks, understanding the different types of tasks and how their time estimates may change over time.
  • Distribute tasks among sub-teams based on team availability and skillset distribution.

Required Skills and Qualifications

  • Bachelor's Degree in Business, Operations Management, Information Technology, Administration or related fields.
  • 2+ years of experience in scheduling or project planning. Previous experience working in a high-volume project environment, managing 500+ projects simultaneously.
  • Proficient in Microsoft applications (Excel, Word) and Google Workspace. Knowledge of Coda and Asana is a plus.
  • Strong written and verbal communication skills in English. Other language skills are considered an asset. Strong communication and interpersonal skills, able to interact effectively with internal teams and external clients.
