
HR Operations and Executive Support Specialist

This role is a hybrid of HR operations and executive support, serving as a strategic partner to leadership to ensure seamless internal workflows, effective people operations, and efficient executive tasks.
- Manage sensitive data related to payroll, templates, systems, and documentation with precision and attention to detail.
- Coordinate scheduling and set up meetings across departments and time zones with minimal disruptions.
- Make purchases on behalf of the organization in line with established procedures.
- Source resumes and assist with applicant tracking processes to optimize hiring efficiency.
- Maintain accurate and organized records of HR and operations-related information.
- Serve as a point of contact for employee inquiries and route concerns to the appropriate channels.
- Assist senior leadership in creating and formatting presentations to effectively communicate key messages.
- Communicate clearly and professionally in both written and verbal English to foster strong working relationships.
- Anticipate upcoming needs and take a proactive approach to problem-solving to drive results.
- Handle confidential information with care and discretion to maintain trust and respect.
Requirements include experience in HR administration and/or executive support, preferably in a fast-paced or dynamic environment, with impeccable organizational skills. Strong data entry skills and comfort working with systems, spreadsheets, and internal tools are also required, along with proficiency in scheduling tools, Google Suite, and communication platforms like Slack or Zoom. Excellent written and spoken English, demonstrated ability to think critically, anticipate challenges, and act with integrity, and comfort managing confidential and sensitive matters professionally are essential.
