Human Resources Operations Specialist
Role OverviewThe Human Resources Operations Specialist will lead end-to-end HR operations, ensuring compliance across a growing organization. This role strengthens lifecycle documentation, performance management, recruitment support, and policy alignment.
Key Responsibilities- Employee Lifecycle Management: Own employee records, contracts, onboarding, offboarding/terminations, and performance documentation.
- File Management: Maintain accurate file management and version control in the HRIS and shared systems.
- Confidentiality and Discretion: Safeguard confidentiality and handle sensitive information with discretion.
- Performance Improvement Plans (PIPs): Coordinate, track, and document PIPs aligned with company policy and consultant guidance.
- Employee Relations: Monitor employee relations issues, document incidents, and escalate appropriately.
- Collaboration and Partnership: Partner with leadership and HR consultants on escalations, corrective actions, and resolutions.
- Candidate Management: Post roles, screen candidates, schedule interviews, ensure consistent candidate communication, and maintain structured pipelines.
- Hiring Progress and Support: Track hiring progress and support smooth transitions from offer through onboarding.
- Compliance: Ensure compliance with U.S. employment laws and internal policies across states.
- HR Procedures and Documentation: Standardize HR procedures and maintain audit-ready documentation in HRIS.
- Training and Development: Track staff training, licenses/certifications, continuing education requirements, coordinate SHRM prep, and professional development support for international staff.
- Proven Experience: Proven experience as an HR Manager or HR Assistant role.
- Technical Expertise: Expert-level proficiency with Microsoft Teams, RingCentral, and HRIS platforms.
- HR Knowledge: Expert knowledge of U.S. HR practices, including PIPs, compliance, and employee relations.
- Communication Skills: Excellent written and verbal English communication; proven ability to work with international staff.
- Hardware and Software Requirements: WFH Set-Up: computer with at least 8GB RAM, Intel i5/AMD Ryzen 5 or higher, and reliable internet.
- Remote Position: Remote position.
- Work Hours and Schedule: Monday to Friday, 9:00 am - 5:00 pm Pacific Time, 40 hours per week.
- Hourly Rate: $7 per hour.
