Executive Support Role

About the Position

This role is responsible for providing high-level administrative support to senior executives.

Key Responsibilities
  1. Manage and coordinate schedules, meetings, and appointments with precision and attention to detail.
  2. Maintain confidentiality while handling sensitive correspondence, serving as a primary point of contact for internal and external communications.
  3. Conduct in-depth research on industry trends, best practices, and comparative data, presenting findings in clear, actionable reports.
  4. Prepare comprehensive financial summaries, including creating statements or invoices, tracking payments, and recording expenses.
  5. Organize and maintain accurate records, files, and documents.
  6. Effectively manage data entry tasks, preparing lead lists, transcribing audio, and compiling meeting minutes.
  7. Monitor ongoing projects, ensure timely communication between teams, and track deliverables.
  8. Coordinate team calendars, prevent scheduling conflicts, and optimize workflow.
  9. Plan and prepare executive travel itineraries, book accommodations, and handle logistics efficiently.
  10. Draft, reply to, and manage emails, follow up on correspondence, and organize inboxes according to executive preferences.
  11. Synthesize data into cohesive reports, create presentation slides for meetings and conferences.
  12. Oversee account profiles, manage reviews, upload media content as needed.
  13. Perform miscellaneous tasks to support executive needs and priorities.
Qualifications
  • A minimum 5 years' experience as an Executive Assistant to C-levels.
  • University Bachelor's degree from reputable institutions.
  • Exceptional communication skills, including phone, email, and instant messaging.
  • Excellent English language proficiency (C1 - C2 Level).
  • Solid organizational and time management skills.
  • Tech-savvy and familiar with current technologies.
  • Proficiency in word-processing software and spreadsheets.
  • Knowledge of online calendars and scheduling tools.
  • Proactive attitude and willingness to be trained.
  • Ability to work graveyard shifts.
