Business Operations Specialist Role

The Business Operations role involves effectively managing client communications, ensuring seamless coordination between office and field teams, and overseeing administrative tasks.

Responsibilities:
  • Handle all client communication with timely responses and proactive follow-ups
  • Coordinate closely with office, field teams, and subcontractors to maintain clear communication channels
  • Administer comprehensive tasks including data entry, invoice processing, and maintaining organized job documentation
  • Manage compliance, including build pass, WHS documentation, and ensuring accurate record-keeping of all job documents
  • Optimize software systems for maximum efficiency and quality control processes, utilizing Build Exact as required
  • Enhance team accountability by tracking employee tasks, deliverables, and site reporting
  • Support the quoting and tendering process, including supplier price checking and quote comparisons
  • Process financial documents in Xero and manage systematic invoice processing to prevent cash flow delays
  • Implement weekly checklists for site managers covering key areas such as job variations, accidents, client satisfaction, and progress updates
  • Establish standard operating procedures and checklists for recurring business processes
