Part-Time Operations Coordinator Job

This is a part-time role that involves overseeing scheduling, task tracking, and workflow alignment across teams. The ideal candidate will be highly organized, proactive, and comfortable juggling multiple priorities in a dynamic environment.

Key Responsibilities:
  • Scheduling and Task Management: Oversee the creation and management of schedules, tasks, and workflows to ensure seamless collaboration among team members.
  • Documentation and Record-Keeping: Maintain accurate and up-to-date documentation, Standard Operating Procedures (SOPs), and project status updates to facilitate informed decision-making.
  • Team Coordination: Coordinate closely with strategy, creative, and data teams to guarantee timely completion of projects and meet deadlines.
  • Vendor and Contractor Onboarding: Support the onboarding process for vendors and contractors, including invoicing and communication to ensure a smooth working relationship.
  • Bottleneck Identification and Process Improvement: Proactively identify bottlenecks and propose improvements to optimize workflows and support leadership in operational decision-making.
  • Weekly Operational Reports: Prepare weekly operational reports detailing progress, resource allocation, and upcoming needs to keep stakeholders informed.
Requirements:
  • Experience: 2+ years of experience in operations, project management, or administrative coordination.
  • Organizational and Time-Management Skills: Strong ability to prioritize tasks, manage time effectively, and maintain organization in a fast-paced environment.
  • Technical Proficiency: Proficient in project management tools (e.g., ClickUp, Asana, Monday) and Google Workspace applications.
  • Communication Skills: Excellent written and verbal communication skills to collaborate effectively with cross-functional teams.
  • Independence and Supervision: Ability to work independently with limited supervision in a remote setup.
