
Multifaceted Administrative Associate

This position plays a crucial role in supporting daily operations by working closely with the property manager to handle resident communication, vendor coordination, and inspection scheduling across multiple properties.
Main Responsibilities:- Makes professional outbound calls to residents for payment collection and fee follow-ups, ensuring timely communication and resolution of issues.
- Sends bulk email notices to residents regarding payments and updates, maintaining transparency and keeping stakeholders informed.
- Maintains accurate spreadsheets tracking payment status and collection activity across properties, providing valuable insights for decision-making.
- Schedules inspections with certified service companies, ensuring compliance with regulatory requirements and industry standards.
- Tracks vendor proposals and ensures certifications are up-to-date, fostering strong relationships with vendors and suppliers.
- Manages multiple ongoing projects across 11 properties, prioritizing tasks and meeting deadlines while delivering high-quality results.
- Provides administrative support to the property manager as needed, handling various tasks and projects with efficiency and attention to detail.
- Generates reports on completed tasks and ongoing projects, facilitating informed decision-making and strategic planning.
- Keepts detailed records of all communications and activities, maintaining a clear audit trail and ensuring compliance with internal policies and procedures.
- 2-3 years of administrative experience, preferably in real estate or customer service, with a proven track record of success.
- Excellent phone and communication skills, with the ability to handle payment-related calls and resolve issues effectively.
- Proficiency with spreadsheets and email management tools, with the ability to maintain accurate records and communicate efficiently.
- Ability to manage multiple projects with organization and attention to detail, prioritizing tasks and meeting deadlines.
- Experience coordinating with vendors and managing schedules, with a focus on compliance and efficiency.
- Familiarity with VoIP tools like Zoom Phone or Google Voice, with the ability to adapt to new technologies and systems.
- Highly organized and capable of working independently, with a strong sense of professionalism and reliability.
