
Administrative Support Specialist

- Manage and send statements or invoices, track payments, and record company expenses in a timely and organized manner.
- Conduct research and prepare reports on industry trends, best practices, and publicly available information to inform business decisions.
- Store and organize documents and files in a secure and accessible manner, adhering to data protection policies.
- Perform data entry tasks, including lead lists, meeting minutes, payroll information, and research notes with high accuracy.
- Source products, purchase goods, and secure samples as needed to support business operations.
- Collect and update marketing and sales campaign information through our CRM system to ensure up-to-date knowledge.
- Monitor projects, facilitate internal communication, and organize company data to maintain efficiency.
- Coordinate team calendars, prevent scheduling conflicts, and ensure clients are prepared for meetings by handling travel arrangements and logistics.
- Handle incoming calls, make appointments, and conduct informational inquiries with professionalism.
- Respond to emails, follow up on correspondence, and manage client preferences with excellent communication skills.
- Compile and synthesize data into cohesive reports and presentation slides to present to stakeholders.
- Upload videos, manage negative reviews, and maintain account profiles to maintain online presence.
- Minimum 3 years of experience in an administrative support role.
- Bachelor's degree or equivalent certificate course required.
- Excellent phone, email, and instant messaging communication skills for effective collaboration.
- Strong English communication skills (B2 level) for written and verbal interactions.
- Solid organizational and time management skills to prioritize tasks efficiently.
- Familiarity with current technologies, including desktop sharing, cloud services, and VoIP to stay up-to-date.
- Experience with word-processing software and spreadsheets (e.g., MS Office).
- Knowledge of online calendars and scheduling tools (e.g., Google Calendar).
- Proactive attitude and willingness to learn and grow with the organization.
- Able to adapt to a flexible schedule, including graveyard shifts if necessary.
