Program Operations Specialist

The Program Operations Specialist plays a crucial role in the success of our online initiatives. We are seeking a detail-oriented and tech-savvy individual to oversee the day-to-day operations of our programs.

Key Responsibilities:
  • Program Setup: Configure each program in Kajabi, manage weekly content delivery and communications, handle participant enrollment, tagging, survey tracking, and progress reporting.
  • Live Call Coordination: Coordinate weekly group calls with the health coach, set up Zoom links, send reminders, manage recordings and post-call uploads, attend and administer all live Zoom sessions.
  • Content Management: Edit and update videos using Descript, make light updates to PDFs and workbooks in Canva, organize and maintain all assets in Google Drive.
  • Participant Support: Answer emails and community messages with professionalism and empathy, direct clients to resources that answer their question, monitor engagement and flag drop-offs or disengaged participants.
Requirements:
  • 3+ years of experience managing operations for online programs, courses, or memberships.
  • Strong Kajabi experience (or similar LMS).
  • Confident using Descript, Canva, Zoom, Google Workspace, Typeform, Stripe.
  • Excellent English (spoken and written).
  • Proven ability to manage time-sensitive weekly workflows.
