Are you a highly organized and detail-oriented individual looking to support our dynamic real estate marketing team? As a Sales Administrative Associate, you will play a crucial role in ensuring the timely and accurate execution of property marketing activities. Your responsibilities will include managing advertising schedules, coordinating marketing campaigns, maintaining property listings, and handling general administrative tasks.

Key Responsibilities:

  • Produce and manage advertising schedules across all marketing channels.
  • Load and update property listings on portals such as REA and Domain.
  • Proofread marketing materials including boards and brochures to ensure quality.
  • Produce Pricefinder reports and weekly CMA reports.
  • List properties and update internet listings regularly.
  • Book and coordinate photography, videography, floor plans, and copywriting appointments.
  • Confirm marketing orders in Campaign Track for upcoming campaigns.
  • Set up and record all authority forms, Box and Dice entries, and associated documentation.
  • Handle vendor-paid marketing through Campaign Agent.
  • Manage advertising for open-for-inspections via Google Sheets and online platforms.
  • Set up and manage social media marketing campaigns using EngageBook and Social Max.
  • Coordinate Domain print media campaigns.
  • Manage auction cancellations or reschedules, including updating websites, brochures, and boards.
  • Order and coordinate printing of brochures, boards, drop cards, window cards, arcade window vinyls, and internal brochures.
  • Coordinate marketing updates directly with suppliers for copy changes, floorplan edits, photo reshoots, and production corrections.
  • Refresh online marketing weekly for current listings.
  • Convert sales methods online (e.g., auction to private sale) and coordinate updates to listings, brochures, and SOI.
  • Manage price changes and record sales authority information.
  • Oversee drone selection details including pin locations and land sizes with suppliers.
  • Prepare off-market listings in Campaign Track and upload to company website.
  • Record QR code information, manage downgrades, and process rental assessment requests.
  • Finalize sales of online listings once unconditional.
  • Upload Contracts of Sale (COS) and Vendor Statements (VS) to the Residential Tenancies Authority (RTA).

Required Skills and Qualifications:

  • Previous experience in real estate administration or real estate sales support.
  • Familiarity with the Systems and Tools used.
  • Exceptional organisational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines effectively.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office and Google Workspace.
  • Comfortable working with multiple real estate marketing platforms and software.
  • Ability to proofread marketing content accurately.
  • Proactive, self-motivated, and a team player.
