Job Overview

The role of Legal Client Intake Coordinator is pivotal in managing the initial client interaction, setting the tone for a productive relationship.

Key responsibilities include collecting essential information, assessing suitability, and coordinating with legal staff to ensure seamless case assignment.

  • Main Responsibilities:
  • Serve as primary point of contact for potential new client inquiries via phone, email, and online platforms, providing timely responses and updates.
  • Conduct thorough intake interviews to gather critical information regarding potential legal matters, utilizing active listening skills to capture key details.
  • Prepare written detailed summaries of intake interviews, ensuring accuracy and clarity.
  • Assess initial eligibility and legal matter suitability in coordination with supervising attorneys, making informed decisions that drive case progression.
  • Schedule follow-up calls between potential new clients and attorneys at our firm where needed, maintaining open communication channels.
  • Follow up on incomplete intakes and provide timely updates to firm attorneys and to potential new clients on their intake status, ensuring transparency and accountability.
Requirements
  • A bachelor's degree or equivalent experience in a legal, administrative, or client service role, demonstrating a strong foundation in law and related fields.
  • Two or more years of experience in a legal support or client intake-related position, preferably in a law firm or legal department, showcasing expertise in client management and law-related software.
  • Strong oral and written communication skills in English, enabling effective client interactions and documentation.
  • Familiarity with U.S. legal terminology and procedures, ensuring a deep understanding of the legal landscape.
  • Strong organizational skills with exceptional attention to detail, maintaining accurate records and timelines.
  • Proficiency in using legal practice management and CRM software (e.g., Clio, MyCase, Lawmatics, Actionstep), streamlining workflow and improving efficiency.
Working Environment

This is a remote position, allowing for independence and flexibility in work arrangements.
