Seeking a highly skilled Administrative Coordinator with Paralegal and Law Firm expertise to provide exceptional support services.

Key Responsibilities:
  1. Document Preparation & Management:
  • Prepare, proofread, and organize legal documents such as contracts, NDAs, and memos.
  • Store, manage, and maintain confidential case files and documents.
  • Coordinate document preparation and distribution with legal counsel or firm staff.
Executive Support:
  • Manage calendars, schedule appointments, and coordinate meetings across multiple time zones.
  • Monitor internal projects, conduct team communications, and organize company data.
  • Handle sensitive information with discretion.
Client & Case Coordination:
  • Manage inboxes: reply to emails, follow up on correspondence, and flag priority messages.
  • Conduct client communication via phone and email for scheduling, updates, and general inquiries.
  • Assist in tracking case deadlines, hearing schedules, and deliverables.
Financial Tasks:
  • Create and send client invoices, track payments, and record expenses.
  • Assist in preparing payroll and tracking billable hours.
Travel Arrangements:
  • Prepare detailed itineraries, book travel arrangements for business or legal activities.
System Management:
  • Update and maintain data in CRM platforms and case management systems.
