Job Summary

We are seeking an experienced Accounting and Administrative Assistant to join our team. The ideal candidate will have a strong background in virtual assistance, accounting, and administrative support roles.


Key Responsibilities:
  • Record daily accounting transactions (sales, expenses, accounts payable/receivable) in a timely manner to ensure accurate financial reporting.
  • File and organize digital copies of invoices and receipts using cloud-based systems, maintaining a secure and easily accessible filing system.
  • Support the monthly closing of books, including reconciliations and ledger reviews, to ensure compliance with financial regulations.
  • Prepare and maintain basic financial reports in Excel, providing insights into business performance.
  • Record sales transactions and update inventory databases as needed, ensuring up-to-date records for informed decision-making.
  • Maintain logs of stock received and dispatched, flagging discrepancies for prompt resolution.
  • Coordinate with the local team to ensure records align with physical inventory, promoting efficiency and accuracy.
  • Collect and input timekeeping or compensation data for payroll runs, adhering to relevant regulations.
  • Maintain digital HR records and ensure personnel files are up-to-date, safeguarding sensitive information.
  • Support compliance tasks, such as policy acknowledgment tracking and onboarding checklists, to ensure a smooth employee experience.
  • Set up and manage digital filing systems (Google Drive, Dropbox, etc.), facilitating collaboration and knowledge sharing.
  • Organize documents for easy retrieval and sharing across teams, enhancing productivity and communication.
  • Maintain internal spreadsheets and assist with data clean-up and formatting tasks, ensuring accuracy and efficiency.
  • Maintain a content calendar and schedule social media posts, engaging with our audience and promoting our brand.
  • Assist in creating simple graphics or copy for posts (using tools like Canva), elevating our visual presence and messaging.
  • Monitor basic engagement and report key metrics monthly, informing strategic decisions and improvements.
  • Creating and updating policies and procedures manuals, while efficiently managing and maintaining executive calendars.
