Executive Operations Manager Role

The ideal candidate for this role will have a strong technical background and be comfortable working with engineers. They should have experience building automations and operational systems, as well as being professional and persistent on the phone.

This is a hands-on technical operations role with executive support responsibilities. The successful candidate will design and run the operational backbone of the client, automate away inefficiency, and own tasks from request to verified outcome. They will partner closely with engineering and leadership, using AI tools and modern ops software to keep work organized, observable, and moving.

We are looking for someone who is detail-oriented and reliable, with zero tolerance for dropped threads. Strong written communication skills are also essential, along with a high learning rate and curiosity. The ideal candidate will pick up new tools quickly and improve them.

The role involves task ownership and follow-through, proactive risk management, receipt and expense pipeline development, workflow automation, project operations with engineering, AI-accelerated execution, documentation and runbooks, and follow-up norms.

  • Task Ownership & Follow-through: Drive tasks to completion, ensuring clear documentation and follow-up actions.
  • Phone Calls & Stakeholder Coordination: Handle inbound and outbound calls to stakeholders, ensuring clear communication, logging outcomes, and escalating as needed.
  • Proactive Risk Management: Anticipate issues and create buffers, reminders, and contingency plans to keep tasks on track.
  • Receipt & Expense Pipeline: Develop a system for receipts, ensuring accurate categorization and reconciliation.
  • Workflow Automation: Design low-code automations using tools like Notion, Airtable, Slack, and Zapier to streamline tasks.
  • Project Operations with Engineering: Facilitate regular check-ins with engineering on project progress, blockers, and next steps.
  • AI-Accelerated Execution: Use AI tools (e.g., ChatGPT/Claude) for drafting communications, SOPs, and summaries.

The ideal candidate will have a strong understanding of APIs, webhooks, OAuth basics, and lightweight scripting. They should also be familiar with productivity and collaboration tools like Notion, Airtable, Slack, and Google Workspace, as well as automation and integration tools like Zapier and n8n.
