Financial Records Specialist

The Financial Records Specialist will be responsible for maintaining accurate financial records, streamlining transaction processing, and supporting key automation initiatives using QuickBooks Online (QBO) and other financial tools.

This role requires a highly detail-oriented and adaptable individual who is comfortable wearing many hats in a fast-paced environment. Experience in retail bookkeeping is highly preferred, and the ideal candidate must be ready to jump in, lighten the team's load, and make a meaningful impact through operational excellence and innovation.

Key Responsibilities:

  • Perform bookkeeping and financial record maintenance tasks:
    • Record and categorize daily financial transactions in QuickBooks Online (QBO) accurately
    • Process accounts payable and receivable transactions, including invoice entry, payments, and reconciliations
    • Maintain an organized and up-to-date general ledger
    • Reconcile bank and credit card accounts regularly, identifying and resolving discrepancies
  • Provide retail accounting support:
    • Manage retail-specific bookkeeping needs, including inventory tracking, cost-of-goods-sold (COGS) allocations, and POS system integration
    • Assist with the financial nuances of jewelry sales, returns, and vendor purchasing
  • Support Bill.com and payroll administration:
    • Utilize Bill.com to process and manage vendor payments efficiently
    • Support payroll administration in coordination with internal systems and external providers
  • Perform reporting and financial analysis tasks:
    • Assist in generating financial reports such as profit and loss statements, balance sheets, and cash flow summaries
    • Help identify trends and areas for cost optimization or revenue improvement
    • Collaborate with the CFO team to support forecasting and budgetting efforts
  • Contribute to technology and automation-related initiatives:
    • Recommend and implement improvements to streamline bookkeeping operations
    • Stay up to date on financial technology to support a lean and efficient team
