
Administrative Coordinator

We are seeking an accomplished Administrative Coordinator to manage front-office communications, financial transactions, and project coordination duties.
Key Responsibilities:- Receive and direct incoming calls, taking messages when necessary
- Input work orders into the system and update job statuses accordingly
- Create and process invoices with accuracy and timeliness
- Assist with accounts payable and receivable entries
- Conduct research on permit and license requirements for new projects, job sites, or services
- Maintain organized digital and paper records for jobs, invoices, and documentation
- Provide administrative support to management and field staff
- Demonstrated experience in an administrative or financial role
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook)
- Excellent communication and phone etiquette skills
- Strong organizational and multitasking abilities
- Ability to work independently and handle confidential information
