As an Intake Coordinator, you will serve as the primary point of contact for patients and healthcare professionals. Your main objective is to provide exceptional customer service while ensuring seamless communication and efficient appointment scheduling.

Key Responsibilities:

  • Frontline Patient Communication: Answer and manage intake phone calls in a friendly and professional manner, acting as a remote receptionist.
  • Patient Information Gathering: Obtain and record detailed client information, including personal details, location, and symptoms or chief complaints.
  • Appointment Scheduling: Assess patient needs and schedule same-day or urgent appointments accordingly, coordinating with on-call doctors and inputting details into the EMR or CRM system.
  • Doctor Coordination: Determine and assign the appropriate doctor for each case based on symptoms, location, and timing, using our internal roster and location mapping.
  • Communication & Follow-Up: Send out confirmation details and informative follow-ups to patients and doctors, ensuring they have the necessary information for upcoming appointments.
  • Post-Appointment Follow-Up: Reach out to patients to confirm their issue was addressed and they are satisfied with the service, and follow up with doctors to verify the visit was completed successfully.
  • Issue Resolution & Troubleshooting: Manage logistical issues that may occur during the intake or appointment process, working quickly to find solutions and involving on-call managers or tech support if needed.
  • Shift Handover: Collaborate closely with other intake coordinators during shift overlaps to ensure a smooth handoff of any in-progress cases.
